Purpose of exam reports
Exam Reports is the read-only side of the exam cycle. The other exam screens create the work: Exam Setup registers the exam, Datesheet places the papers, Eligibility decides who may sit, Seating assigns a chair, and Marks Entry records the score. Reports only read that work and arrange it for a person who needs to check, print, or explain it.
Nothing you do on this page publishes a datesheet, locks a mark, or sends a result card. If a report shows a gap - a paper with no teacher, a mark still unlocked, a student still ineligible - you fix it on the screen that owns that work, then run the report again.
- Exam coordinator uses the operational, flow, eligibility, and seating reports to keep a term moving.
- Class teacher and examiner use the marks register, the lock audit, and the approval queue.
- Accounts uses Fee Clearance Exceptions before admit cards go out.
- Principal uses the performance, publication, and relative-weakness reports in a review meeting.
Where to open them

How to run a report
- Open Exams → Reports.
- Search, or open the group, and select the report. The parameter dialog shows only the fields that report uses.
- Choose the exam term when the dialog asks for one. A term is required. Campus, grade, section, subject, and exam can stay on All when you want the whole population.
- Set Workflow status or Threshold only when those fields are on the dialog. Leave status on All unless you are hunting one state.
- Press Run report. Marks, cards, eligibility, or seats load for that term. Hall and grade-scale reports load without a term.
- The result opens in a preview window. Print sends it to the printer. Export to Excel downloads the same rows as a spreadsheet.
Run parameters
Every dialog starts from the lists already in the exam module. You do not type a class code. You pick a value, or you leave the field on All.
| Parameter | What it does | When it appears |
|---|---|---|
| Exam term | The exam whose datesheet, marks, cards, eligibility, or seats are read. Required whenever it is shown. The report will not run until a term is chosen. | Almost every report. Hall inventory, hall capacity, and the two grade-scheme reports do not use a term. |
| Campus | All campuses, or one campus. The list comes from campuses that already appear on exam data. | Every report except Teacher Relative Weakness Summary. |
| Grade | All grades, or one grade, such as Grade 8. | Reports that can be narrowed to a class. |
| Section | All sections, or one section inside the grade. | Same reports as Grade. |
| Subject | All subjects, or one subject. Use it to print a single subject sheet. | Datesheet, marks, eligibility, and difficulty reports. |
| Exam | All exams on the term, or one paper. Use it for a room-door list or one mark sheet. | Datesheet detail, mark detail, eligibility detail, and both seat registers. |
| Workflow status | All, or one state such as Draft, Submitted, Approved, Locked, or Published. On an eligibility report the same field filters eligibility state. | Submission flow, card publication, marks register, eligibility summary, lock status, and publication analysis. |
| Threshold / top N | Three different meanings, depending on the report. On performance reports it is the pass percentage (the examples use 50). On High Performers and Students Requiring Support it is how many students to list (the examples use 100). On the two relative-weakness reports it is the gap, in percentage points, below the student's own average (the examples use 15). | Only on the reports whose hint mentions a threshold, a top N, or a gap. |
Operational reports
These reports describe what has been set up: the datesheet, who owns each paper, and which halls exist. They do not change the datesheet.
Exam Schedule Register
Purpose. The complete datesheet for one exam term: each paper's date, time, grade, section, subject, teacher, maximum marks, and whether it is still a draft or already published.
Use it when. Use it when you need the working timetable before or after release - to check that every class has its papers, that a teacher is named, and that the dates sit inside the exam window.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes. Campus, grade, section, subject, and exam left on All. That term holds the fullest published datesheet, so the register returns 53 papers.
Published Datesheet
Purpose. The datesheet parents and students are allowed to see. Only papers whose release state is Published are included.
Use it when. Use it when you are about to print or circulate the timetable. A paper still in Draft will not appear here, which is how you confirm the public list.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes, every campus, grade, section, subject, and exam. All 53 papers on that term are published, so the public list matches the full register.
Exam Term Register
Purpose. One row per class: how many exams and subjects are scheduled, the first and last paper dates, and how many student places the term covers.
Use it when. Use it at the start of a term to see whether a class is missing from the datesheet, or whether the date range looks too short.
Parameters. Exam term (required), Campus, Grade, Section.
Example run. Exam term = Half Year Exam Upto Middle classes, all campuses and classes. Eight class groups are listed.
Teacher Assignment Crosscheck
Purpose. Exam load by the teacher named on the datesheet: how many papers and student places sit with each person.
Use it when. Use it when you are sharing invigilation or paper-setting work, and to spot a class whose paper has no teacher yet. An unassigned row is an ownership gap.
Parameters. Exam term (required), Campus, Grade, Section, Subject.
Example run. Exam term = Half Year Exam Upto Middle classes, all campuses, classes, and subjects. Eight teacher groups cover that term, and every paper has an owner.
Exam Hall Inventory
Purpose. Every active examination hall: rows, columns, the capacity those rows and columns produce, how many seats are already allocated, and utilization.
Use it when. Use it before you build a seating plan, to see which rooms exist and which ones still have spare seats. This report does not ask for an exam term.
Parameters. Campus.
Example run. Campus = All campuses. Five halls are visible to this school.
Flow and workflow reports
These reports show movement: drafts waiting to be published, marks waiting to be locked, and cards waiting to be released. Run them while a term is in progress.
Marks Submission Flow
Purpose. Mark-sheet progress for each exam: how many student rows are entered, locked, submitted, and approved.
Use it when. Use it while marks are being collected, to see which paper is stuck at entry and which ones are ready for approval. Workflow status narrows the list to one state.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam, Workflow status.
Example run. Exam term = Monthly Test Round 1, all other filters on All, workflow status All. That round has the largest approved mark set: 37 exam groups.
Marks Lock Audit
Purpose. The student mark rows that are still unlocked. A locked row cannot be edited until someone with authority opens it again.
Use it when. Use it before the approval deadline. Anything listed here can still be changed, so it is not safe to treat as final.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes, all other filters on All. That term is the one with unlocked marks: 26 rows. Monthly Test Round 1 is fully locked, so it would return an empty audit.
Result Approval Pending
Purpose. Mark rows a teacher has submitted that an examiner has not approved yet.
Use it when. Use it as the approver's queue. An empty result means nothing is waiting. Do not treat an empty queue as a fault - it means approval is clear.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 3, all other filters on All. This is the only term with a submitted mark still waiting: 1 row.
Report Card Publication Flow
Purpose. How many result cards exist, and how many of them are still Draft versus already Published, with the dates those states were reached.
Use it when. Use it when you are deciding whether a term is ready to send to students. Draft cards are prepared; published cards are the ones families can see.
Parameters. Exam term (required), Campus, Grade, Section, Status.
Example run. Exam term = Monthly Test Round 1, all campuses and classes, status All. Two publication groups are returned for the 660 cards on that term.
Draft Datesheet Flow
Purpose. Datesheet papers that have not been released. Students and parents do not see these rows.
Use it when. Use it before you announce exam dates. Clear or publish every draft row so the public datesheet is complete.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 2, all other filters on All. Every paper on that term is still a draft: 38 rows. A fully published term returns no rows here.
Marks and performance reports
These reports read entered marks and generated result cards. They are the lists a class teacher or examiner prints. They do not enter or approve marks.
Student Marks Register
Purpose. One row per student mark: marks obtained, percentage, grade, and whether the row is entered, locked, submitted, or approved.
Use it when. Use it as the printable mark sheet for a class or one paper. Narrow it with Subject or Exam when you want a single sheet rather than the whole term.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam, Workflow status.
Example run. Exam term = Monthly Test Round 1, all campuses, grades, sections, subjects, and exams, workflow status All. That selection returns 1,972 mark rows, the largest mark register in the school.
Subject-wise Performance
Purpose. For each subject: how many marks were entered, the average, the highest, the lowest, and the pass rate.
Use it when. Use it in a staff meeting to compare subjects on one term. The threshold is the pass percentage. A student at or above that percentage counts as a pass.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Threshold (pass percentage).
Example run. Exam term = Monthly Test Round 1, all classes, every subject, threshold 50. Seven subjects are summarized.
Class-wise Performance
Purpose. Average, high, low, and pass rate by grade and section, using one pass percentage for every class.
Use it when. Use it when a principal wants to compare sections of the same grade without opening each mark sheet.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Threshold (pass percentage).
Example run. Exam term = Monthly Test Round 1, all classes and subjects, threshold 50. Twelve class groups are returned.
Grade Distribution
Purpose. How many mark rows and students fall into each letter-grade band that was actually awarded.
Use it when. Use it after marks are approved, to see whether a paper produced a sensible spread of A, B, C, and F, or whether almost everyone landed in one band.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 1, all filters on All. Six awarded grade bands are listed.
High Performers
Purpose. The strongest report-card results, ranked from the top. Threshold here is Top N, the number of students to return, not a pass percentage.
Use it when. Use it for merit lists, awards, and a quick look at who led the term. Raise Top N when you want a longer list.
Parameters. Exam term (required), Campus, Grade, Section, Threshold (Top N).
Example run. Exam term = Monthly Test Round 1, all campuses and classes, Top N = 100. The report returns the top 100 report cards.
Students Requiring Support
Purpose. The lowest report-card results, so academic support can be offered early. Threshold is Top N, the size of the support list.
Use it when. Use it after cards are generated, before a parent meeting. Filter to one grade when the conversation is with that class teacher.
Parameters. Exam term (required), Campus, Grade, Section, Threshold (Top N).
Example run. Exam term = Monthly Test Round 1, all campuses and classes, Top N = 100. One hundred students with the lowest cards are listed.
Marks Anomaly Report
Purpose. Mark rows that are missing, negative, or higher than the paper's maximum. These need correction before a sheet is locked.
Use it when. Run it before you lock and approve marks. A zero-row result is the result you want: nothing is outside the allowed range.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Ran against every exam term in this school, including Monthly Test Round 1 (1,972 marks) and the Half Year exam. No missing, negative, or over-maximum marks exist, so there is no result picture. The parameter dialog is the same shape as Student Marks Register.
Student Progress Register
Purpose. Ranked result cards: total, percentage, grade, attendance, and whether the card is still a draft or already published.
Use it when. Use it as the class progress list for a term. Status filters the list to draft cards or published cards.
Parameters. Exam term (required), Campus, Grade, Section, Status.
Example run. Exam term = Monthly Test Round 1, all campuses and classes, status All. That term has 660 result cards, the largest progress register.
Grading reports
These reports show the letter-grade scheme and how awarded marks landed on it. Change the scheme on Marks Grading, not from here.
Grade Scheme Configuration
Purpose. The letter bands configured for the school: percentage from and to, grade point, pass or fail, and the remark printed on the card.
Use it when. Use it before marks are approved, to confirm the scale an exam will use. This report has no exam term. Campus limits the schemes you see.
Parameters. Campus.
Example run. Campus = All campuses. Six grade-scale rows are configured.
Grade Scale Coverage
Purpose. The same bands, read as coverage: whether the percentages run from 0 to 100 without a gap or an overlap.
Use it when. Use it when a new scheme has just been saved. A gap means some percentages will not receive a letter.
Parameters. Campus.
Example run. Campus = All campuses. Six bands are shown for the configured schemes.
Grade Point Distribution
Purpose. Awarded marks grouped by the letter and the grade point those marks received.
Use it when. Use it when you want the grade-point picture of a term, optionally for one subject or one class.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 1, all filters on All. Six grade-point groups are returned.
Eligibility reports
These reports support admit cards. Run them after eligibility has been evaluated and before roll-number slips are printed.
Eligibility Rule Configuration
Purpose. The admit-card rules on each paper: minimum attendance, fee clearance, homework, and discipline, together with how many students were evaluated.
Use it when. Use it when you are checking that a term's rules were actually applied, before anyone prints a roll-number slip.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes, all filters on All. Rules are listed for all 53 papers.
Subject Eligibility Summary
Purpose. For each class and subject: how many students are eligible, how many are ineligible, and how many were set by a manual override.
Use it when. Use it immediately before admit cards. A subject with a large ineligible count needs a decision before slips are printed. Status can limit the summary to one eligibility state.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam, Status.
Example run. Exam term = Half Year Exam Upto Middle classes, all filters on All, status All. Fifty-three subject rows are summarized.
Ineligible Student Register
Purpose. Every student who failed at least one eligibility check, with the reason: attendance, fees, homework, or discipline.
Use it when. Use it as the working list for the office that clears students. Fix the reason, or record a manual override, then run the summary again.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 6, all filters on All. That round has the most ineligible students: 650 rows.
Attendance-based Ineligibility
Purpose. Students whose attendance percentage is below the minimum set on the exam rule. The row shows the actual percentage beside the rule.
Use it when. Use it when the ineligible register is mostly an attendance problem and you want that list on its own for the class teacher.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 6, all filters on All. 626 students are below the attendance rule.
Fee Clearance Exceptions
Purpose. Students the eligibility check marked for outstanding fees.
Use it when. Hand this list to the accounts office before admit cards are issued. Once the fee is cleared, eligibility can be recalculated.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 6, all filters on All. 196 fee-clearance exceptions are listed.
Manual Eligibility Overrides
Purpose. Students whose eligibility was set by hand, with the reason an authorized person recorded. The computed result stays visible so the exception can be reviewed.
Use it when. Use it as the accountability list for admit-card exceptions. An empty result means every eligibility decision on that term is still the computed one.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Ran against every exam term, including Monthly Test Round 6 (the largest ineligible list) and the Half Year exam. No manual override is stored, so there is no result picture. The parameter dialog matches the other eligibility registers.
Seating and hall reports
These reports read the seating plan. Build or rotate seats on Exam Seating Plan, then come here to verify the rooms.
Seating Plan Verification
Purpose. Each student's hall, row, column, and seat for the selected term. Choose one exam when you want a single paper's room list.
Use it when. Use it the day before an exam to confirm every candidate has a seat and that two students of the same paper are not left side by side if you rotated seats.
Parameters. Exam term (required), Campus, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes, all campuses, all exams. 888 seat assignments are on that term.
Hall Capacity Compliance
Purpose. Each hall's configured capacity (rows x columns) next to the number of seats actually allocated. Utilization above 100% is a capacity breach.
Use it when. Use it after a seating plan is generated and before exam day. This report asks for a campus, not an exam term, and it reads every allocated seat.
Parameters. Campus.
Example run. Campus = All campuses. Five halls are compared with their allocations.
Student Seat Register
Purpose. The same seat assignments as the verification list, laid out as the register an invigilator can search on exam morning.
Use it when. Use the Exam filter to print the door list for one paper. Leave Exam on All when you want the whole term.
Parameters. Exam term (required), Campus, Exam.
Example run. Exam term = Half Year Exam Upto Middle classes, all campuses, all exams. 888 students are seated.
Publication and controls
These reports are the control checks before a datesheet or a set of marks is treated as final: what is published, what is locked, and what still has no owner.
Exam Publishing Status
Purpose. For the term: how many exams are published, how many are still draft, and the grades, subjects, and student places in each group.
Use it when. Use it as the release check before you tell families that the datesheet is final.
Parameters. Exam term (required), Campus, Grade, Section.
Example run. Exam term = Half Year Exam Upto Middle classes, all campuses and classes. One group is returned: the term is fully published.
Marks Data Lock Status
Purpose. Locked and approved mark rows by exam and workflow state. This is the control view of the same marks the submission flow summarizes.
Use it when. Use it when an auditor asks whether a term's marks can still be edited. Filter Workflow status to Locked or Approved to focus the review.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam, Workflow status.
Example run. Exam term = Monthly Test Round 1, all filters on All, workflow status All. Thirty-seven exam groups are reported, and the marks on that term are locked.
Unassigned Exam Responsibility
Purpose. Scheduled papers that still have no teacher. Marks entry and paper checking cannot be owned until someone is named.
Use it when. Use it as soon as a datesheet is drafted, and again before marks entry opens. Assign the teacher on the datesheet, then run the report again.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Exam.
Example run. Exam term = Monthly Test Round 1, all filters on All. Forty papers on that term have no teacher. The Half Year exam has none of these gaps.
Marks Entry Workload
Purpose. How much mark entry sits with each teacher: exams, subjects, students, and mark rows.
Use it when. Use it to see who still has a large unmarked load, and to balance work before the approval date.
Parameters. Exam term (required), Campus, Grade, Section, Subject.
Example run. Exam term = Monthly Test Round 1, all classes and subjects. Two teacher workload groups are returned.
Analysis and trends
These reports compare classes, subjects, attendance, and relative weakness. They are for a review meeting. They do not publish results.
Term Performance Analysis
Purpose. By class: student count, average, pass rate, and the score range on the result cards. The threshold is the pass percentage used for the pass rate.
Use it when. Use it for the principal's term review. Keep the same threshold when you compare two terms, or the pass rates will not mean the same thing.
Parameters. Exam term (required), Campus, Grade, Section, Threshold (pass percentage).
Example run. Exam term = Monthly Test Round 1, all classes, threshold 50. Twenty-four class rows are analyzed from the 660 cards.
Exam Difficulty Index
Purpose. A practical difficulty reading: subject average and pass rate. A lower average and a lower pass rate indicate a harder paper.
Use it when. Use it when a subject's results look unusually weak and you need to tell a hard paper from a weak class. Threshold is the pass percentage.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Threshold (pass percentage).
Example run. Exam term = Monthly Test Round 1, all classes and subjects, threshold 50. Seven subjects are indexed.
Attendance vs Performance
Purpose. Result cards grouped into five-point attendance bands, with the average and pass rate inside each band.
Use it when. Use it to see whether students who attended more also scored more. It does not change eligibility; it only reads the cards.
Parameters. Exam term (required), Campus, Grade, Section, Threshold (pass percentage).
Example run. Exam term = Monthly Test Round 1, all classes, threshold 50. Two attendance bands have cards.
Subject Examination Coverage
Purpose. How many papers and student places each subject has on the datesheet. This is assessment volume, not a count of students who chose an elective.
Use it when. Use it when you are checking that a subject was examined for every grade that should sit it.
Parameters. Exam term (required), Campus, Grade, Section, Subject.
Example run. Exam term = Half Year Exam Upto Middle classes, all classes and subjects. Seven subjects are covered.
Result Publication Analysis
Purpose. Result cards grouped so you can see draft and published volume, with the dates on the publication timeline.
Use it when. Use it while results are being released class by class. Status limits the analysis to draft or published cards.
Parameters. Exam term (required), Campus, Grade, Section, Status.
Example run. Exam term = Monthly Test Round 1, all classes, status All. Twenty-four groups are returned from that term's cards.
Teacher Relative Weakness Summary
Purpose. Teachers and subjects where students are strong on their other papers but weaker on this one. The threshold is the gap, in percentage points, below the student's own average. The default gap is 15.
Use it when. Use it when a result review asks whether one subject is pulling students down relative to their own standard, rather than whether the class average is low.
Parameters. Exam term (required), Subject, Threshold (gap in percentage points).
Example run. Exam term = Monthly Test Round 1, all subjects, gap 15. Fifty-four teacher and subject rows meet that gap.
Relative Weakness Proof Register
Purpose. The proof sheet behind the summary. For each flagged student it shows the weak subject beside the student's stronger subjects, so a claim about a teacher can be checked student by student.
Use it when. Open it when someone questions the summary. The same gap threshold must be used on both reports or the proof will not match the summary.
Parameters. Exam term (required), Campus, Grade, Section, Subject, Threshold (gap in percentage points).
Example run. Exam term = Monthly Test Round 1, all classes and subjects, gap 15. 751 proof rows are returned.
